Lotwise — batch, lot and expiry tracking for Shopify

What Lotwise is for
Lotwise records batch assignments for orders and lets merchants confirm or correct those assignments against physical picking. Merchants can use the records to investigate affected orders when a batch is recalled. An automatic assignment alone does not prove which batch was shipped.
What we collect
When a merchant installs Lotwise on their store, we receive:
- Store details — the myshopify.com domain and an access token, so the app can read from the store.
- Product and variant data — titles, variant names and SKUs, so lots can be attached to the right item.
- Order data — order number, line items, quantities and order date, so units can be drawn from the correct lot.
- Customer email address — taken from orders, and stored with the order's batch allocations or missing batch coverage, so it remains available if the merchant assigns that coverage later.
We do not collect customer names, phone numbers, shipping or billing addresses, payment details, or browsing behaviour. Customer emails may be missing; merchants must verify their records before contacting customers about a batch. We do not place cookies for tracking or advertising, and we run no third-party analytics or advertising code.
Stock imports and picking records
We store submitted stock rows, import completion records, receipt identifiers, picking confirmations, and batch correction reasons to prevent duplicate stock entries and retain the history of changes. Do not put customer details in stock notes or correction reasons. These records are removed with the store's data when its shop erasure request is processed.
Why we hold a customer's email
Solely so a merchant can contact the people who received a recalled batch. For merchants selling supplements, cosmetics, food and drink, or anything else with a shelf life, notifying affected customers is a legal obligation, and it cannot be done without a way to reach them.
Lotwise never contacts customers. It produces a list; the merchant does the contacting. We do not send marketing, we do not sell or rent personal data, and we do not share it with anyone beyond the infrastructure providers listed below.
How long we keep it
For as long as the app is installed. Product safety traceability obligations run for the shelf life of a product, so a recall trail is only useful if it outlives the stock.
- When a merchant uninstalls, our access to the store is revoked immediately and the stored access token is deleted. Shopify then sends a shop erasure request 48 hours later, at which point every remaining record we hold for that store — lots, allocations and settings — is permanently deleted.
- When a customer requests erasure, their email is erased immediately. The underlying record that a unit of a given lot shipped on a given order is kept, with no identifying details attached, because the merchant is separately required to retain that for product safety.
Who processes the data
Lotwise is operated by Blue Crate. Data is stored and processed by:
- Netlify — application hosting
- Neon — database hosting
Both encrypt data in transit and at rest. No other party receives store or customer data.
Merchant and customer rights
Depending on where you live, you may have the right to access, correct, export or erase personal data we hold, or to object to our processing of it. Shoppers should contact the merchant they bought from, since the merchant controls the data and we process it on their behalf. Merchants, and shoppers whose merchant is unreachable, can contact us directly at the address below and we will respond within 30 days.
Changes
If this policy changes materially, the date at the top changes and installed merchants are notified in the app before the change takes effect.
